Synchronize your activities

Your activities can be syncronized in real-time with Google Calendar in order to easily access your activities whilst on-the-go. The Google Calendar app will also remind you on your phone with details about each activity. Through Google Calendar, you can also share your calendar to other popular services and apps, including Outlook. My organization does not have any Google email account If your organization doesn't have any Google-compatible email address, you may register a free Google account using the same email address. Make sure to select the option "Use my current email address" during the registration. Completing this registration will give you access to free Google services, such as Google Calendar, but will not incur any changes on your existing email setup. Connecting your Google account Each user will need to connect their Google account by following the steps below. Keep in mind that you need to have a Google account ready, and if you don't have one you can read instructions on how to obtain a free Google account using your existing email address above. 1. Go to your user profile (located in the user menu). 2. Find "Google Account". 3. Click "Sign in with Google" and follow the on-screen instructions. Once the above steps have been completed, your activities will automatically be synchronized to Google Calendar. The initial synchronization may take several minutes to complete. Below you can find optional steps to further customize and integrate the Google calendar. These steps are optional, and should only be carried out if required. Sharing your calendar from Google Calendar to Microsoft Outlook 1. Sign in to your Google Calendar account. 2. In the left column, click My calendars to expand it, hover over the calendar that you want to add to Outlook as an Internet Calendar Subscription. Select the three dots to the right of the calendar name, then select Settings. Select Settings from your Google calendar. 3. Scroll down to the Integrate Calendar section and right click on Secret address in iCal format and select Copy. 4. In Outlook, click File > Account Settings > Account Settings. 5. On the Internet Calendars tab, click New. new internet calendar 6. Paste the address you copied in step 4, by pressing CTRL+V, and click Add. internet calendar subscription 7. In the Folder Name box, type the name of the calendar as you want it to appear in Outlook, and then click OK. internet calendar subscription options When you start Outlook, it checks Google Calendar for updates and downloads any changes. If you keep Outlook open, it also periodically checks for and downloads updates. Changes you make in Outlook will not synchronize back to your Google Calendar. We recommend to use the CRM as the data entry for your activities to ensure they synchronize across devices as expected.

How the matching system works

You can setup automatic matching between your properties and clients to automatically notify clients of properties they may be interested in, or to let them know when new properties enter the market. Enabling or disabling the matching system The matching system can be enabled/disabled on each property and client profile, which gives you full control on what property listings are considered when matches are being generated. The matching system can be enabled or disabled by changing the Matching system value. Automatic or manual sending You can switch between automatic and manual sending mode on each client profile, using the email matching properties automatically option. If this option is enabled, matches will automatically be marked as scheduled to send, and otherwise matches will be marked pending user action. Finding matches made by the system You can get a list of all property matches and their statuses by switching to the matches tab on a property listing (which will show you the clients that matched with the property) or a client profile (which will show you the properties matched with the client). Matches pending user action can also be found by navigating to the Matches option in the main menu, which also allows you to apply different filters to easily find what you are looking for. The lifecycle of a property match - Pending user action If property matches are not set to be sent automatically, any matches that occur will be marked for manual review by a user. This status is referred to as pending user action. A user can select to complete different actions, such as sending the match to the client or dismissing the match. - Scheduled to send If property matches are set to be sent automatically, or if a user has chosen to send a match manually, the status of a match will change to scheduled to send. The system is periodically sending matches to clients, and will include several matches in a single email when possible. - Sent to client The status will change from scheduled to send to sent to client when the system has successfully delivered the notification to the client. If there are more matches waiting to be sent to the same client, they will be scheduled automatically to avoid too frequent messaging. - Dismissed by user When a match is found between a property and a client, it is a result of the configured Buyer & Tenant profile. In certain cases, you may not want to send a match to the client, and in this case the status will be changed to dismissed by user when the match is dismissed. How frequent are property matches being sent Only property matches in the scheduled to send status will be delivered to the client. If you have multiple property matches, a maximum of 10 property recommendations will be included in each notification. The system will send maximum one (1) notification every 24 hours to each client, and will automatically schedule another notification once the time limit has elapsed, until the client has no more matches left.
